COVID-19 Safe reception procedure
COVID-19 Let’s face it together
At Modica Boutique Hotel we take some actions:
- When a great number of arrivals and departures are going to be expected, check in and check out stations are going to be splitted
- The check in online system is going to be developed and strengthened
- Each guest will receive the request to send a scanned ID file to speed the check in process
- Each guest will receive the request to send the room registration form already filled in
At your arrival:
- An entrance and an exit paths are going to be outlined
- The recption entrance is going to be provided with:
- a termo scanner to take the temperaturea
- a sign that explains the standard hygienic rules
- disinfectant dispenser
- Each guest will have to go through a termo scanner that will take the temperature of every single person that is going to enter the structure
- On the entrance floor is going to be outlined the distance each guest will have to respect from one another
- Each desk will have a plexiglass to separate the guests from the staff member
- The staff member is going to hygienize the desk once the check in procedure will be over
- Guest will not be allowed to do the check in if they do not hygienize their hands first
- Room keys are going to be hygienized every time guests will take them to the reception and are also going to be hygienized before giving them back
During your stay:
- Bellhops are going to wear a mask
- In all the shared areas there are going to be trashbins with pedals to avoid any contact while you dispose of the individual security device
- In each trashbin there will be an easily movable plastic bag to not get in contact with the inside
- It is allowed only one person per lift or more members of the same family
- The lifts push-button panels are going to be regularly hygienized
- Car parking must be done by the owner. If that is not possible, the person in charge will have to wear gloves and mask and will need to ventilate the car
- Each supply used by a guest has to be hygienized before and after the use
- The PRO COVID task force is going to monitor the rules observance
SUPPLIERS' ACCESS:
Supplies delivery is going to follow a different path from the one the guests are going to take.
very supplier will have to follow the social distancing rules; they will also be required to wear the individual security devices the law requires and to show all PRO COVID papers.
STAFF
- Among the staff there is going to be a PRO COVID task force whose assignment will be to assist the staff in the observance of PRO COVID RULES
- All the staff is going to be trained in the hygiene routine established to prevent COVID
- Each staff memeber is going to be equipped with a daily PRO COVID kit to work safely during all the shift hours
- For every given kit there will be a form to fill in that is going to be valued as evidence.
- Each staff member will undergo a blood test every 20 days.
- Each staff member is kindly encouraged to take his/her temperature before leaving home; if the values are higher than the ones established by law it is highly recommended to not go to work.
- Once the staff members reach the structure, their temperature will be taken and registered.
- Each back house area is going to be provided with hygienizer gel.
STAFF CAFETERIA
To avoid infection, meals are not going to be served to the staff. Each staff member can bring his/her meal from home in a sealed container.
CHANGING ROOMS
Changing rooms access will use a fixed number.
There is going to be the chance to change but not to take a shower.
At the changing room entrance there will be a disinfectant dispenser with disposable gloves.
Changing rooms will be opned following a schedule and are going to be hygienized at the end of every shift.
RECEPTION
To follow the social distancing rules and to avoid gatherings the following actions are going to take place:

CLEANING UP SERVICES
SHARED AREAS
- Each shared area is going to be provided with hygienizer gel dispenser
- All the shared areas are going to be cleaned up with disinfecting products
- The shared toilets are goint to be provided with bactericide soap and disposable or electric towels
- Toilets clean up and sanification is going to take place every two hours
- The PRO COVID task force is going to monitor the rules observance
SHARED TOILETS
- Toilets access is going to use a fixed number
- At the entrance there is going to be:
- hygienizer gel dispenser
- Dentro al bagno oltre al lavandino con acqua calda e fredda ci saranno:
- soap dispenser
- disposable toilet seat covering dispenser
- individual security devices trashbins
- a sign that explains the standard hygienic rules
ROOMS CLEANING UP SERVICE
- Each member of the cleaning service staff is going to receive the individual security devices the laws establishes:
- Mask
- Gloves
- Cap
- The room cleaning up service will be different depending on the room type:
- BLOCKED ROOM: the cleaning up is going to be the standard one established by the company policy
- DEPARTING ROOM: the room is going to be hygienized with certified and adequated products
- In both cases the cleaning up must affect every surfaces the guest got in contact with
- Guests individual security devices will be collected in a different bag
- In case of changing sheets, the dirty ones are going to be splitted by the cleaning ones and are not going to be used as backing during the cleaning up activities
- All the surfaces are going to be cleaned with certified products and disposable equipment or with sodium hypochlorite 2%
- In case of departing room the minibar and all the products in it are going to be hygienized too
- All the amenities are going to be regularly hygienized and in case of departing room sanified
- The coffee trail and all the product the guest will get in contact with are going to be sanified
- If possible all decorative items such as the ones below will be avoided
- Carpets
- Runner
- Ornamental pillows
- Etc.
- Bedcovers and blankets are going to be replaced everytime the room is departing
RECEPTION AND LOBBY AREA
Reception and lobby area are going to be regularly ventilated, sanified and cleaned up (at least every two hours). All the surfaces are going to be hygienized over and over.
AIR CONDITIONING SYSTEM
When the system is down the cleaning up will follow the HCCP standard measure. The airing grilles are going to be regularly sanified with cleaned clothes and products with 75% of alcol
MAINTENANCE
The maintenance staff must follow by the book all the PRO COVIDE rules.
Before entering in a guest's room they have to:
- wear a disposable mask
- wear disposable gloves
At the ending they must:
- remove the disposable gloves and put them in the trashbin
- Get in touch with the governess to clean up the room
When the maintenance staff goes away, the room has to be sanified from the governess by using all the specified products and all the pro COVID individual security devices.
FOOD SERVICE
MAKING OF THE MEALS
All the staff is going to be trained in:
- COVID-19
- PRO COVID procedures
Together with individual security devices, each member is going to receive:
- Medical mask
- Anti spurts mask
- disposable gloves
Entrance and exit paths to the kitchen are going to be splitted
All surfaces have to be sanified over and over
Each station in the kitchen is going to be equipped with:
- a sink with hot and cold water
- a soap dispenser
Working stations are going to be organized so that staff members won't have to stay together while working. Each staff memeber has to wear the medical mask and the anti spurts mask, both of them are personal.
In the kitchen there are going to be trashbins with pedals to dispose only of the individual security devices.
BREAKFAST
Breakfast service is going to be organized as a buffet attended from a waiter that is going to serve the guest the dishes he will choose.
The cafeteria service will take place at each table on demand; the drinks will be served using the same system as the buffet.
The entrance and exit paths will be outlined with vertical and horizontal signs.
At the restaurant entrance there are going to be:
- termoscanner
- gel dispenser
The guests are not going to be allowed in the restaurant without:
- wearing a disposable mask
- sanitizing the hands
Along the restaurant walls there are going to be lots of buffets with a see-through plexiglass. Behind the buffet there is going to be the staff equipped with:
- gloves
- disposable mask
On the floor the entry and the exit back and forth the restaurant and the buffet are going to be higlighted.
Alongside the buffet are going to be put some strips to ensure the follow of social distancing rules.
Guests will choose the dishes. The waiter is going to give them:
- a dish (washed in dishwasher at 70 C degrees or higher)
- cutleries
- the chosen dish
Tables are going to be placed all over the room at established distances.
Table linen is going to be changed from guest to guest and the cleaned sheets must not stay with the dirty ones.
All the romm staff is going to be equipped with:
- gloves
- disposable mask
The used dishes are going to be retired and taken to the kitchen where are going to be washed in the dishwasher at 70 C degrees or higher.
The PRO COVID task force is going to monitor the rules observance.
PUT IN DISH SERVICE
The waiters that are going to do the put in dish service must wear the individual security device established by law:
- disposable mask
Menus are going to be made on disposable sheets or are going to be sanitized before giving them to guests
Tables are going to be placed all over the room at established distances.
Table linen is going to be changed from guest to guest and the cleaned sheets must not stay with the dirty ones.
Meals are going to be served on dishes washed in dishwasher at 70C degrees or higher; these dishes are going to be given to waitres by chefs equipped with disposable mask, smock, cap, gloves and anti spurts mask.
From shift to shift all the restaurant, tables and chairs included, have to be sanitized.
The PRO COVID task force is going to monitor the rules observance.
ROOM SERVICE
Room service is going to be done by using disposable sealed containers. Meals are going to be cooked in the kitchen by qualified staff and taken to guests by carts.
The cart is going to be taken by the waiter in front of the room entrance.
Later on the waiter is going to take in the room the tray(already sanitized); he will then leave the dishes on the dedicated surface covered in a disposable tablecloth. At the end dishes are going to be disposed of in the trashbins.
The tray is going to be taken away by the cleaning ladies; they are going to take it to the kitchen where it will be sanitized following the same method as for dishes and glasses.
The waiter that is going to do the room service will have to change his individual security device.
TAKE AWAY SERVICE
Take away service will be done by using disposable sealed containers suitable for the purpose.
Dishes are going to be served from the staff to the guests.
BAR
At the bar entrance there are going to be:
- termoscanner
- gel dispenser
Guests are not going to be allowed in the bar without:
- disposable mask
The bar desk is going to be equipped with plexiglass and all the staff is going to have:
- gloves
- Disposable mask
- the entrance to the closed area of the bar will be on fixed number and on the floor there are going to be strips to distance people in the bar
- all the staff equipment is going to be santitized over and over
- on the outside all the tables are going to be placed at the established distances
- The PRO COVID task force is going to monitor the rules observance.
SWIMMING POOL
The entrance and the exit of the swimming pool are going to be splitted.
The water is going to be processed with the chlorine quantity established by law; the chlorine presence is going to be regularly monitored by an electrical control unit.
At the swimming pool entrance there are going to be:
- Disposable gloves dispenser
- Gel dispenser
Sun beds and beach umbrellas are going to be placed at the established distances.
Swimming pool entrance is going to be on fixed number to respect spaces
To avoid gatherings beach activities are going to take place even in the afternoon
All lifeguards are going to be equipped with:
- disposable gloves
- disposable mask
Sun beds and beach umbrellas are going to be sanitized everyday followin the schedule below:
- 08:00
- 13:30
- 18:30
All the swimming pool activities are going to take place following the rules:
- SPORT: only the ones established by law
- BATH: only in the established way
SPA AND WELLNESS CENTER
STAFF
- All the spa staff is going to be trained following ANTI COVID rules
- Work shifts are going to be scheduled depending on the requests, avoiding gatherings and splitting groups
- All the Spa staff is going to be equipped with:
- disposable mask
- disposable gloves
- smock
- anti spurts masks
SPA ENTRANCE - RECEPTION
- At the Spa entrance there are going to be:
- o termoscanner
- o Gel dispenser
- Guests are not going to be allowed in the spa without wearing a disposable mask
MOIST ZONE
- The moist zone access is going to be on fixed number to follow the social distancing rules and all the areas are going to be sanitized over and over
- All the areas of the moist zone are going to be sanitized over and over
GYM
- at the gym entrance there are going to be:
- Disposable gloves
- Gel dispenser
- The access is going to be on fixed number to follow the social distancing rules and all the areas are going to be sanitized; the gym areas are going to be disposable only on appointment to the Hotel guests.
- The gym areas are going to be regularly sanitized
UTILITY ROOM AND STORAGE AREA
- at the entrance of the storage area there are going to be:
- gel dispenser
- The access is going to be on fixed number to follow the social distancing rules and all the areas are going to be sanitized; all areas are going to be accessible for just a member at time
All the equipment is going to be sanitized through a cold sterilisation; the products that are going to be used are antimicrobial medical devices, safe and absolutely no toxic.
OUTER COMPANIES ACCESS
All the outer companies are going to access the hotel through a path that is not going to be the one guests usually use.
Outer companies staff members are going to be allowed in the structure only after:
- taking their temperature
- sanitizing the hands
- checking their personal security devices
- checking the PRO COVID necessary papers
During their stay in the structure they must follow by book the PRO COVID RULES.
WHAT TO DO IN CASE SOMEONE IS SYMPTOMATIC
At the reception there are always going to be at least 5 PRO COVID 19 kits.
Each kit must contain:
- FFP2 Masks
- Facial protection
- Disposable gloves
- Protective apron
- Disposable coverall
- Disposable shoes protections
- Disinfectant
- Disposable tissues to clean the surfaces
- Disposable plastic bag to dispose of biological risk garbage
COVID SUSPECTED CASE AMONG GUESTS
If there is a Covid suspected case among guests we are going to:
- report it to the local medical centre
- make the suspected guest wear: Disposable mask, glasses, disposable coverall and disposable gloves
- take the suspected guest in his room to avoid contacts with othere guests
- Close the room and ventilate it naturally
- Turn the air conditioning off if possible
- Give the suspected guest disposable bags to put inside of them tissues or other personal material he need to get rid of
The staff members that are going to look after the suspected guest are going to:
- wear all the personal security devices
- Wash theselves with idro alcoholic solution after dealing withe guest and before having contact with other people
All the shared areas are going to be sanitized promptly
COVID SUSPECTED CASE AMONG STAFF MEMEBERS
In case a staff member will inform the hotel of having covid symptoms the hotel is going to:
- command the staff member to stay at home
- do promptly a sanification of all the staff areas
In both cases all the surfaces are going to be cleaned using products containing water and chlorine at 0,1% or water and alcohol at 70%. All the textile fibers are going to be washed at 90C degrees adding detergent.
Sanitizing actions are going to be done by staff members with all the personal security devices need; after the sanification both the cleaning up equipment and the personal devices are going to be put in disposable bags intended for special waste disposal.
